Education & Conference Associate Position Opening

Under the supervision of the Vice President, Education & Conferences, the Education & Conference Associate is responsible for supporting a variety of education, conference, and member experience projects, assisting with on-site implementation of AWEA events, as well as other administrative duties.

Essential Functions/Major Responsibilities

  • Assist the team with creating and updating CMS content for each event website including program, hotel, registration, and special event webpages.
  • Set up and maintain online systems, including the Abstract Submission System, Review Center, Presenter Center, and Program Schedule webpage.
  • Order promotional / sponsorship products for all events in coordination with the member relations team, program and logistics leads.
  • Collect travel dates and flights from AWEA staff attending our events for hotel and travel purposes, assist with staff coordination before and during events.
  • Provide customer support for general event inquiries via phone and general email accounts.
  • Back the Registration Coordinator with any AWEA event shipments including supply orders and shipment organization.
  • Support in organizing the WINDPOWER Program Committee, including recruiting and confirming reviewers, and assisting with administrative support of the Program Committee meeting.
  • Assist in coordinating speakers by drafting materials, collecting information, and maintaining speaker database and files.
  • Provide on-site implementation support for various AWEA events, to include:

          -        Program track and speaker content

          -        Logistics coordination and venue management

          -        Registration process

  • Additional WINDPOWER project support including coordination of volunteers, drafting of staff training documents, and overseeing the on-site printed materials for the department.
  • Provide administrative support for events including completing hotel credit applications, creating hotel check-in letters, drafting attendee detail emails, maintaining a master event calendar of industry events, scheduling meetings and conference calls with speakers, etc.

AWEA is a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This job may experience high work demands under tight timelines.  Travel to various cities within the U.S. is possible to support 6-8 conferences/meetings a year that last anywhere from approximately 2 days to 1 ½ weeks, which may include some weekend and evening travel and events during evening and weekend hours may be needed outside of normal business hours.  This position will frequently interact with members, speakers, registrants, and various vendors.  Customer service, multi-tasking and detailed-oriented skills are necessary.  Ability to adhere to timelines for phone and email responses and project deadlines is required.

Qualified applicants may possess any combination of education and experience enabling them to successfully perform the responsibilities of the position.  Preferred qualifications are: Bachelor’s degree in related field and 2 years experience in meeting or event planning.   Must be: proficient with MS Office, self-starter, detail-oriented, proactive, able to multi-task and prioritize, have strong communication skills (both written and verbal); have strong collaborative and organizational skills. A passion for renewable energy and the tenacity for quality time sensitive work is a plus.
